Instead of Smartabase

Stop renting Smartabase. Own your athlete management system.

We build your version around your squads, your wellness form, your testing battery and your sport's concussion policy, bring your Smartabase records across and run it for you.

Smartabase, now called Teamworks AMS, has no public price. Teamworks quotes each organisation privately, and taking more than one of its products brings no automatic discount.

What the subscription covers

You pay for screens over records your staff already keep

Teamworks does not publish a price for Smartabase. Its own pages say how it is sold, and underneath sit athletes, sessions, forms and injuries.

request_quote

A price you only see in a quote

There is no price on the page. Teamworks quotes each programme, so the bill depends on what you take and how you negotiate.

inventory_2

Sold product by product

Smartabase now sits in a family of Teamworks products. Teamworks says buying more than one brings no automatic discount; bundle discounts come through its Elite programme.

badge

A new name on the same invoice

Smartabase became Teamworks AMS. Teamworks says only the name and logo changed, and invoices now carry the new name.

dynamic_form

Forms built for each organisation

Smartabase describes itself as customisable and unique to each organisation. Your wellness, load and injury forms were built for you, and they hold your records.

dashboard

Dashboards over your own data

The dashboards show the questions someone built a chart for. A new question means a new build.

upload_file

An uploader for your spreadsheets

Smartabase offers an uploader to bring data in from CSV, Excel and XML files. The data being uploaded is already yours.

Your own athlete system

Start with what the performance team asks before every session

This morning

Know who can train and who to talk to

Availability, the morning wellness form and the week's load, read together before the first session.

  • check Out, modified and available, squad by squad, with each expected return
  • check Wellness scores four or more points under the athlete's own 28-day normal, short sleep and any item at 1 of 5
  • check The forms not in yet, named, so the team manager can chase them before training
  • check Five names to talk to before the session, with the one reason for each

Training load

See the spike before the injury

Session RPE for every athlete, the last seven days against the four-week average, and the week-on-week change.

  • check A squad session logged in one line, with each athlete's exception after it
  • check Athletes who are out skipped automatically; modified athletes kept out of contact
  • check Spikes over the ratio you set, leaving out athletes who are injured
  • check An athlete back from a long injury flagged as their load climbs, with their clearance date beside it

Concussion

Return dates the rules set, not the calendar

Every concussion carries its earliest contact and play dates under the NZ and Australian guidance for that athlete's age and medical cover.

  • check Twenty-one days to competition and 14 symptom-free days before contact for under-19s and community squads
  • check Stages recorded in order, a day apart, with a stage moved too early refused
  • check Clearance by a doctor only: a physio clearing a concussion is refused
  • check A third concussion in twelve months flagged for a season review

Duty of care

The records that protect the programme

Consent, safety checks, a complete injury register and testing that says what really changed.

  • check Athletes with no health information consent on file, named
  • check Staff working with under-18s whose safety check is missing or expired
  • check Days lost by body area and mechanism across the season
  • check Test results judged against the squad's smallest worthwhile change, so noise is not called progress

Switching

How to switch from Smartabase

A move involves exporting your forms, mapping your fields, checking imported records against Smartabase, and running both systems side by side briefly before you switch.

  1. 1

    Export your records

Export each Smartabase form as a CSV: athletes, wellness, RPE, injuries and test results. Smartabase sites use their own forms, so check which exports your account allows and confirm the process with Smartabase if needed. Keep the original exports available while you check the records that come across.

  2. 2

    Load the records

Start with a test run before saving anything. It shows what the import will bring across, so you can review the result before loading the records. When you are ready, import the forms you have chosen to move. The import recognises common column names, but names can vary between Smartabase sites.

  3. 3

    Check the import results

Review what the test run says will come across and check any warnings, unmapped fields or records that need attention. Compare the imported athletes, injuries and recent training load with Smartabase, and check that the fields and rules your staff rely on are represented correctly. Resolve gaps before you use the new records to make decisions.

  4. 4

    Run both systems briefly

Keep Smartabase and the new database running side by side for a short period. Use the same records in both and compare key checks, including who is available, injury status and recent load. Ask staff to confirm that the information they need is present and consistent. This gives you a chance to catch gaps before Smartabase is no longer your reference.

  5. 5

    Switch off Smartabase

Once the records and checks match what you need, make the new database your working system and stop using Smartabase for day to day records. Keep any exports or records your organisation needs to retain, following your own requirements. Tell staff where to record information from then on so updates are not split between systems.

construction

Where the real effort goes

The real work is usually mapping your own forms, fields and rules, then deciding how much history to bring across. The import recognises common column names, but each Smartabase site builds its own forms and some fields may not map or carry over. If you have Enterprise DNA run the move, they map your records and check athletes, injuries and recent load before you switch.

Questions

Instead of Smartabase, answered

Our athletes fill in their wellness and RPE on the Smartabase app. What replaces that? expand_more

In the free version staff record the forms, or bring them in from a form you already use. Most programmes want athletes answering on their phones, so we build a short phone form into your version that writes straight into your records, with the questions your staff already ask.

How do our records come across from Smartabase? expand_more

You export each form to CSV: athletes, wellness, RPE, injuries and test results. A test run shows what will come across before anything is saved, and running it twice does not double anything. Every Smartabase site builds its own forms, so on the paid paths we map yours and check athletes, injuries and the last month of load against Smartabase before you switch.

Our GPS and force plate data feed into Smartabase. Do we lose that? expand_more

The free version takes distance and high-speed running when they are in the session export. In your version we connect your GPS units and testing equipment directly, so a session arrives with its numbers and nobody retypes them.

Does this keep us within the concussion rules and the privacy law? expand_more

It checks your records against eight rules, from health information consent and safety checks for staff working with under-18s to the 21-day and 14-day concussion guidance and a doctor's clearance, and names the source of each. Your doctor, your sport's policy and the law still set the rules. It makes sure the evidence is on file and the gaps are named before they matter. Your athletes' health information stays in a database you own.

What do we pay Enterprise DNA? expand_more

The code is free. A version built and run for your programme has one setup fee, then a retainer. Sam looks at your Smartabase quote, your squads and how your staff work before agreeing the scope.
