Ten questions your weekly review can answer
These are working questions against the example records below. We adapt the questions and rules to your business.
Switching
How to switch from Smartsheet
The move involves exporting your task sheet, mapping its fields and rules, checking the imported records, and agreeing what history to bring across.
- 1
Export your task sheet
Export a complete, flat task sheet from Smartsheet to Excel, then save the task worksheet as CSV UTF-8. Include the task records you intend to move. If your account does not offer this export path, check with Smartsheet about the options it allows. Keep the original export unchanged so you can refer back to it during checks.
- 2
Prepare and test the import
Give each task a stable Task ID, and make sure the people and project records it refers to are set up in the replacement. Start with a test import before loading the records. Map the Smartsheet column headings and status values explicitly. The importer does not guess mappings or unsupported data, so review the mapping before proceeding.
- 3
Check the import results
Check what the import reports before you rely on the new register. Compare task records, owners, due dates, statuses and predecessor links against the Smartsheet sheet, and resolve any mapping or data issues it identifies. The importer supports simple finish-to-start prerequisites with no lag. Agree how to handle attachments, comments, custom rules and other records before the move.
- 4
Run both side by side
For a short agreed period, keep Smartsheet available as a reference while your team records current work in the replacement. Compare active tasks, owners, dates and blockers during your regular review. Ask users to report anything they cannot find or update. This gives you a chance to correct field mappings and working rules before Smartsheet stops being the live register.
- 5
Switch off Smartsheet
Once the team has checked the new register, make it the place for live task updates and tell everyone where to record tasks and decisions. Stop making updates in Smartsheet. Keep the agreed export and any records you have decided to retain according to your own retention requirements. Do not close access until you have confirmed the new register contains the records and history your team needs.
Where the real effort goes
Most of the work is mapping your own fields, statuses, owner and project rules, then deciding how much history to bring across. The task import has a defined scope, so attachments, comments, custom rules and other records need an agreed treatment. If you have Enterprise DNA install and run it, Enterprise DNA does this mapping and import work with you.

Questions
Instead of Smartsheet, answered
What does the free version replace? expand_more
It replaces the weekly task-register workflow: owners, deadlines, prerequisites, progress notes, decisions and review reports. We scope your full Smartsheet replacement around the records and working practices you use, then build the remaining screens and connections into your version.
Can you bring our Smartsheet work across? expand_more
Yes. Smartsheet supports an Excel export of a task sheet. Save the task worksheet as a spreadsheet text export, map its headings and check a test import. The free version handles task records and simple finish-to-start prerequisites. We agree the treatment of attachments, comments, custom rules and other records before moving your team.
Can our team have familiar screens? expand_more
Yes. We build the views, forms and access controls your team needs into the custom version. The free version is designed for a trusted operator, with read-only reports. A shared team system gets its access design as part of the setup.
What are we paying for after the move? expand_more
The free code has no per-member licence fee. Hosting, the assistant you use and ongoing support are separate costs. For a built and managed version, Enterprise DNA agrees one setup fee and then a retainer covering the scope you choose.
Will the checks prove we are compliant? expand_more
They flag missing review evidence and incomplete work records. They do not certify compliance or inspect actual permissions. Your operator supplies the evidence, chooses the review dates and keeps responsibility for access and retention decisions.
