Switching
How to switch from Swoogo
A move like this usually involves exporting registrations, mapping your event records, testing the import and rehearsing the events you need to run before switching.
- 1
Export your registrations
Start with a registration CSV for one event, which Swoogo documents how to export. Export the records you need for the events you plan to move, and keep a copy of the source data. Registrations are only one part of the move. Sessions, speakers, sponsor commitments and historical check-ins need separate mapping and reconciliation.
- 2
Test the registration import
Create the destination event first. Load one event's registration CSV with the import's test run before saving records. The importer preserves original fields and can map renamed headings. Identical repeats are skipped, while changed records stop for reconciliation, so check that the event and its column mappings are right before importing for real.
- 3
Review import results
Check which records the import rejects or holds for reconciliation, and resolve those issues before relying on the data. Confirm that renamed headings map to the right fields. The import does not infer privacy consent, payments or historical check-ins, so review those separately and do not assume they have moved with the registrations.
- 4
Rehearse both systems
Keep Swoogo available during a brief overlap while you rehearse the events you need to run in the new system. Check registrations, session places, speaker deadlines and sponsor commitments against your source records. The base handles internal operations only, so confirm separately how you will handle participant-facing pages and mobile tools that are part of your Swoogo setup.
- 5
Switch off Swoogo
Switch off Swoogo only after you have rehearsed the events and reconciled new or changed records. Keep the source exports you need for reference, including any history you chose not to bring into the new database. Make sure any Swoogo work outside internal event operations has a separate plan before you end its use.
Where the real effort goes
Most of the work is mapping your own fields and operating rules, then deciding how much history to bring. Registrations import one event at a time. Sessions, speakers, sponsor commitments and historical check-ins need separate mapping and reconciliation. When Enterprise DNA runs the setup, it handles this mapping and reconciliation as part of the agreed work.

Questions
Instead of Swoogo, answered
Does this replace every part of Swoogo? expand_more
The free version runs internal event operations from imported or staff-entered registrations. We build participant forms, mobile workflows and business connections into your custom version after agreeing the scope. Rehearse the events you need to run before switching.
Can we bring our Swoogo registrations across? expand_more
Yes. Export one event to a registration CSV, then do a test run first. The importer keeps original fields and rejects invalid records. Sessions, speakers, sponsor commitments and historical check-ins need separate mapping and reconciliation. We handle that as part of your setup.
Why switch if Swoogo already lets us ask questions about our data? expand_more
Swoogo offers conversational access and custom reporting. The reason to choose this is ownership and control over your own event process. The questions shown here demonstrate the free version; they are not claims that Swoogo cannot answer them.
Will the privacy checks make us compliant? expand_more
They identify missing records and due reviews. An operator must assess the evidence and which rules apply. The supplied checks reference New Zealand privacy principles; we adapt rules, access controls and retention reviews to your business and jurisdiction.
What does Enterprise DNA charge? expand_more
One setup fee, then a retainer for the agreed ongoing work. We scope your records, participant experience, connections and operating support on the call. The free version has no licence fee; hosting and the assistant you use have their own costs.
