The problem

The alumni team sends an invitation to thousands of people and then fields hundreds of replies by email: can I bring a guest, is there parking, I'm vegetarian, sorry I can't come after all. The waitlist lives in someone's inbox, and freed places often go unused.

How it works

  1. Takes RSVPs by email, chat or text and checks the places left
  2. Answers questions about the venue, guests, dress and parking
  3. Records dietary needs for the caterer
  4. Runs the waitlist and offers freed places in order, holding each for 48 hours
  5. Keeps the alumni relations manager's attendee list up to date

What it connects to

  • Alumni CRM
  • Events and registration system
  • Email and SMS
  • Caterer's dietary list
Sample email thread
  1. Wen (alumna)Hi, I'd like to come to the alumni evening on 22 October. Can I bring my husband?
  2. AgentLovely, Wen. Yes, alumni can bring one guest to the Alumni Evening. It's Thursday 22 October, 6.30pm to 9pm on the Level 12 terrace at 45 Anson Road, with Professor Lin Wei Ming speaking. What's your husband's name, and do either of you have dietary needs?
  3. Wen (alumna)David Tan. I'm vegetarian. Also, is there space at the Hong Kong breakfast? I'll be there that week.
  4. AgentYou and David are booked for 22 October, with a vegetarian meal for you. The Hong Kong Alumni Breakfast on 6 November is full, but I can put you on the waitlist. If a place frees up I'll email you and hold it for 48 hours. Shall I add you?
  5. Wen (alumna)Yes please.
  6. AgentDone, you're on the waitlist. Dress for both events is business casual.

Illustrative conversation. Names, numbers and details are made up.
