The problem

Corporate communications teams email for updates several times a week, often to brief their own leadership. Each reply means an account manager chasing the studio for status, and requests for extra work slip in without being priced.

How it works

  1. Reads each email to the agency's client inbox
  2. Matches the sender to their active project in the tracker
  3. Replies with what has been delivered, what is waiting on the client and what is due next
  4. Spots requests that are outside the agreed scope
  5. Passes those to the account director with a short summary, so nothing is done unpriced

What it connects to

  • Project management tool
  • Email (Outlook or Gmail)
  • Shared drive
Sample email thread
  1. ClientHi Noor, where are we with the Ramadan campaign films? Our CEO wants to see everything this week.
  2. AgentHi Faisal, thanks for checking in. Version 2 of the 60 second film went to you on Tuesday and is waiting on your feedback. The Arabic subtitles for the two 15 second cuts are due Thursday, so your CEO can see all three by then.
  3. ClientGreat. Can we also get vertical versions for our LinkedIn and Instagram pages?
  4. AgentGood idea. Vertical versions are outside the current scope, so I've passed the request to Aisha, your account director, with a summary. She'll come back to you today with timing and cost.

Illustrative conversation. Names, numbers and details are made up.

Capabilities used

  • Answers from your data. Looks up live records in your own database and systems, not just documents.
  • Summaries. Every conversation ends with a written summary, a transcript and the next step.
  • Human handoff. Transfers the call, books a callback or forwards the email when a person should take over.
