Corporate event client onboarding for function venues
Sets up new corporate function clients once they accept a quote: collects contacts, billing details, guest numbers, dietary needs and the run sheet, and tells the events sales manager what is still outstanding.
Talk to Ruby at Tidewater Hospitality Group
Tidewater Hospitality Group is made up. Ruby is a real agent, set up the way we would set one up for you. Talk or type and ask what a client would ask. Bookings are pretend, so try anything.

The problem
After a quote is signed, the events manager spends days chasing purchase order numbers, dietary lists and timings by email. Details arrive the day before and the kitchen is caught out.
How it works
- Welcomes the client and lists what the venue needs and by when
- Collects the main and on-the-day contacts, billing entity and purchase order number
- Collects guest numbers, dietary and allergy needs, the run sheet and AV needs
- Sends allergy details to the kitchen in writing for the kitchen to confirm
- Passes menu, price and contract changes to the events sales manager
What it connects to
- Rebecca (client EA)Hi, we've just signed the quote for our end of year function at Tidewater Events on 4 December. What do you need from us?
- AgentHi Rebecca, it's Ruby. Thanks for confirming. I've logged your booking for 4 December and passed it to Olivia Chen, our Events Sales Manager, who looks after your event.
- Rebecca (client EA)Great. Two guests are coeliac, is the canape menu okay for them?
- AgentI've sent that to the kitchen team in writing and they'll confirm what they can do for those two guests. Next I need your billing entity, a purchase order number if you use one, and an on-the-day contact. Final numbers are due 27 November.
Illustrative conversation. Names, numbers and details are made up.
