The problem
A new salesperson turns up on Monday with no DMS login, no lead inbox and no key card, because the request came on Friday afternoon as a text to the IT manager. Access gets copied from whoever sat at the desk before, so people end up seeing parts of the DMS their role shouldn't.
How it works
- Takes the request by chat or email from a manager
- Matches the role to the access it needs in the DMS, Microsoft 365 and other systems
- Sends it to the right approver with the cost
- Logs it and tells the manager when it will be ready
- Leaves setting up accounts to the IT manager
What it connects to
- Megan (site general manager)Hi Tess, has Jordan's access been sorted for Monday?
- AgentHi Megan. Jordan Lee's request is IT-3412 and it's waiting on your approval. As a sales consultant at Takapuna he'd get the DMS sales role, Microsoft 365, the website lead inbox and Trade Me Motors enquiries.
- Megan (site general manager)Approved. What does it cost us?
- AgentMicrosoft 365 is NZD 39 a month and a DMS user is NZD 145 a month. I've sent your approval to Hemi Walker, and with 3 working days to go it will be ready on Monday morning.
- Megan (site general manager)Can he have access to the accounts module too? He'll be helping with deals.
- AgentAccounts module access isn't part of the sales role, and Craig Mitchell approves it. I can send him the request with your reason if you'd like.
