The problem

Staff aren't sure whether a strange email is worth reporting, so they ignore it or forward it to the whole office. When someone does click a link at 8pm, nobody hears about it until morning.

How it works

  1. Takes reports by email, chat or phone at any hour
  2. Asks whether the person only received it, or clicked, opened or typed a password
  3. Tells them what to do straight away and logs the report
  4. Pages the on-call engineer within minutes when an account may be at risk
  5. Sends any request to change bank details to the finance manager to check by phone

What it connects to

  • Microsoft 365 email security
  • IT support company on-call paging
  • Phone system
  • Finance team in Teams
Sample conversation
  1. Nadia (planner)I got an email from a supplier asking us to update their bank account. It looks a bit off.
  2. AgentThanks for checking, Nadia. Did you click any links, open an attachment or reply to it?
  3. Nadia (planner)No, just read it.
  4. AgentGood. Please forward it to it@tussocksurvey.example, don't reply, then delete it. Bank detail changes are never made from an email. I've sent it to Nicola Grey, who will check with the supplier on the number we already hold.
  5. Nadia (planner)Will do. What if I had clicked it?
  6. AgentThen I'd page the on-call engineer straight away and ask you to stay off email until they call, usually within 15 minutes. Your report is SEC-0911. Thanks for flagging it.
