The problem

Staff ring in sick at 5am to a supervisor's mobile that is often on the floor or switched off. Absences get written on a whiteboard, the roster is never updated, people and culture finds out days later, and the line starts short because nobody began looking for cover in time.

How it works

  1. Answers the absence line by phone, text or chat at any hour
  2. Takes name, site, shift, a short reason and how long they expect to be away, without asking for medical details
  3. Texts the shift supervisor straight away and records the absence in the rostering system
  4. Files medical certificates sent as a photo
  5. Starts filling the shift from the casual pool if the supervisor wants cover
  6. Passes questions about leave balances or pay to the people and culture manager

What it connects to

  • Rostering system such as Deputy
  • HR system such as Employment Hero
  • SMS gateway

Sample conversation
  1. Liam (production operator)Hi, it's Liam Carter. I'm crook, I can't do my afternoon shift at Dandenong today.
  2. AgentSorry to hear that, Liam. I've noted you're off sick for today's afternoon shift at Dandenong South, 2pm to 10pm. Do you think you'll be back tomorrow?
  3. Liam (production operator)Probably not, maybe Monday. Do I need a certificate?
  4. AgentIf you're off more than 2 days in a row, yes. You can text me a photo of it and I'll file it. I've let Grace Okafor, your supervisor, know now. Your reference is AB-5531.
  5. Liam (production operator)Thanks. Will I get paid for this?
  6. AgentI can't check leave balances or pay, but I've asked Karen Doyle in people and culture to get back to you about it. Rest up, and let me know if anything changes.
