The problem

Site managers ask for a new starter's access the Friday before they start, by email, text and phone, and never quite the same way twice. IT spends the first morning of every start chasing approvals, and the new person spends their first shift without the systems they need.

How it works

  1. Takes new starter and access requests from managers by chat, Teams or email
  2. Checks the role's standard set and the laptop and tablet stock before promising a date
  3. Sends anything that needs sign-off to the right approver, such as purchasing access to the operations manager
  4. Logs the request in the IT ticketing system with everything the engineer needs
  5. Never grants access or shares passwords itself. An engineer sets up every account
  6. Tells the manager what is ready, what is waiting and when it will arrive

What it connects to

  • IT ticketing system such as ServiceNow or Jira Service Management
  • HR system
  • Microsoft 365 and Teams
  • Purchasing system
  • Device stock list
Sample email thread
  1. Tom (site manager, Carrow Creek)Hi Hana, I've got a new maintenance planner starting Monday at Carrow Creek. Can you get him set up?
  2. AgentHappy to, Tom. What's his name?
  3. Tom (site manager, Carrow Creek)Raj Patel. He'll need to raise purchase orders too.
  4. AgentThe maintenance planner set covers a laptop, email and Teams, the maintenance system, the shift roster app and a site tablet, and Monday is fine for all of it. Raising purchase orders needs Rachel Moore's approval as operations manager, so I've logged it as IT-5531 and sent Rachel the request.
  5. Tom (site manager, Carrow Creek)Will his laptop be there on Monday?
  6. AgentYes. There are three laptops in stock, so Liam will set one up and the courier will have it at the Carrow Creek site office by 6am Monday. I'll message you as soon as Rachel approves the purchase orders.
